About Caterer Ottawa

Eighteen years of feeding the National Capital Region — one event at a time.

We are a locally owned, fully insured catering company based in Ottawa, Ontario, serving clients across the National Capital Region for over 18 years. Founded in 2007 by Marc-André Lavigne — a Red Seal Certified Chef de Cuisine trained at Le Cordon Bleu Ottawa — our kitchen is led by chefs with backgrounds in fine dining, hotel banqueting, and high-volume event production. The kind of experience that matters when 200 plates need to leave the kitchen at the same temperature, at the same time.

What sets us apart isn’t just the food, though that’s where every conversation starts. It’s the operational discipline behind it: detailed event timelines, day-before site visits, dedicated event captains, and a kitchen team that has worked together long enough to read each other without saying a word. When something unexpected happens — and at every event, something unexpected happens — that experience is what keeps it invisible to your guests.

We source from Ontario and Outaouais farms wherever the season allows. Our produce comes from the Ottawa Farmers’ Market network, our breads from local bakeries, our meats from regional butchers, our cheeses from Quebec fromageries that most caterers can’t pronounce. Local sourcing isn’t a marketing line for us — it’s how we get food that actually tastes like the city we live in.

The numbers behind the kitchen

Over 18 years catering in Ottawa we’ve delivered more than 2,400 full-service events, married off 540+ couples at venues from the Westin Ottawa to backyard tents in the Gatineau Hills, and catered at over 22 embassies and high commissions in our city. Our event captains and lead servers are bilingual (English/French) by default. We’ve served at embassies, House of Commons receptions, private estates in Rockcliffe Park, breweries in Vanier, museums on both sides of the river, and weddings under tents in the Gatineau Hills. Every event is built around your vision, your guest count, your budget, and your dietary needs — never a one-size-fits-all package.

Why Choose Us

Why Ottawa hosts choose us.

Seven reasons clients keep our number on speed-dial — and refer us to their friends, colleagues, and wedding planners.

01

Menus built around you — not pulled from a binder

We don’t hand you a four-page list and ask you to circle things. We start with a conversation: what’s the event, who’s coming, what’s the vibe, what’s your non-negotiable, what would make your aunt cry happy tears? Then our chef writes a draft menu, you taste it, and we refine it until it’s yours. Vegan bride and meat-loving in-laws? Halal, kosher-style, gluten-free, nut-free, FODMAP-friendly? Heritage dishes from your family? We build around it.

02

Transparent, all-inclusive pricing

Our quotes lay out everything: food, service staff, rentals, gratuity, taxes, travel where applicable. No surprise line items two weeks before the event, no “oh, that’s extra.” If we forgot to mention it in the quote, we eat the cost. That’s the policy.

03

A local team that actually lives here

Our chefs, captains, and servers are Ottawa locals. They know the venues — which corners of the Horticulture Building have weak wifi for payment terminals, which loading dock at the Aberdeen Pavilion is fastest, which back stairwell at the Château Laurier saves twenty minutes on plated service. That kind of working knowledge only comes from years on the ground in this city.

04

Bilingual service for the National Capital

Most of our event captains and lead servers are bilingual (English/French). For events with French-speaking guests from Gatineau, embassy functions, or any audience where bilingual service matters, we staff accordingly at no premium.

05

Allergens & dietary restrictions taken seriously

We treat every dietary note as if it were a life-threatening allergy, because for some of your guests it is. Separate prep stations, dedicated utensils, ingredient-by-ingredient labeling for buffets, and a chef on site who knows every plate that leaves the kitchen. We’ve fed celiac brides, anaphylactic groomsmen, vegan vegetarians, and toddlers with severe nut allergies — without incident, ever.

06

Insurance, permits & compliance handled

Liquor service through your AGCO Special Occasion Permit, City of Ottawa special event permits where required, RACJ (Régie des alcools, des courses et des jeux) compliance for Gatineau-side events, and full liability documentation for any venue that needs proof. We’ve done it before, we know which forms to fill out, and we make sure you’re covered.

07

Operationally relentless — even when it goes sideways

An outdoor wedding in 33°C August heat. A surprise September thunderstorm. One memorable October wedding in a tent during a snow squall. Plans matter. Every full-service event includes a documented timeline, a contingency for weather, a backup vendor list, and a captain whose only job that night is yours.

Common Catering Problems

The exact problems Ottawa hosts bring to us.

Most clients come to us after one of these specific situations. If any of these sound familiar, you’re in the right place.

“My guest list has every dietary restriction in the book.”

Vegan brother-in-law, celiac maid of honor, kosher-keeping grandparents, two nut-allergic kids, a pescatarian table, and one guest doing carnivore? We’ve done it. Our menus are designed so 90% of dietary alternates are equivalent in presentation and quality — no one feels like they got the “sad alternative.”

“We’re hosting at a venue with no kitchen.”

Plenty of beautiful Ottawa-area venues are unequipped: barns in the Ottawa Valley, lofts in Hintonburg, gardens at Pinhey’s Point, private estates in the Gatineau Hills, sailing clubs on the Ottawa River. We bring everything — propane lines, refrigeration, hot boxes, water, prep tables, hand-wash stations.

“Our previous caterer let us down.”

Cold food, missing dietary plates, a server who disappeared, a chef who showed up late, food that tasted nothing like the tasting. We hear these stories every week. Our process is built specifically to prevent each of them — written menu approvals, locked-in staffing ratios, captain accountability.

“We don’t know what budget is realistic.”

Most clients haven’t catered an event before, and Ottawa pricing isn’t transparent across most caterers’ websites. We’ll tell you honestly what your vision costs, what you can adjust without it feeling cheaper, and what isn’t worth cutting. If we’re not the right fit budget-wise, we refer.

“We need bilingual staff.”

For events with French-speaking guests — embassy receptions, federal department functions, Gatineau-side weddings, anything where French service matters — we staff bilingual servers and captains as a default. No premium, no special request needed.

“We’re catering a multicultural family.”

Tamil-Filipino weddings where the menu was half-and-half. Lebanese-Italian engagement parties. Embassy national-day receptions for fifteen different countries. Corporate events with explicit halal, kosher-style, vegetarian, and vegan options simultaneously. Multicultural catering isn’t a niche for us — it’s most of what we do.

“We’re short on lead time.”

Last-minute is fine for most corporate work — drop-off lunches, breakfast meetings, and small receptions can often be confirmed within 48–72 hours subject to availability. Weddings and large events typically require 8–12 weeks minimum. Three weeks out and your caterer just cancelled? Call us first.

“We need someone who’s catered embassies before.”

National-day receptions, state-level dinners, protocol-sensitive events. We’ve catered at over 22 embassies and high commissions in Ottawa. Protocol-aware bilingual service, security clearance documentation, alcohol-free options for guests of multiple religious traditions, and careful menu development around national cuisines.

How We’re Different

Caterer Ottawa vs. the typical caterer.

After eighteen years of fixing other caterers’ mistakes, here’s where the difference shows up — on your event day, when the doors open and the food has to land.

How we work

  • Written menu approvals before deposit, refined through up to three rounds of revisions
  • Bilingual (English/French) lead captains as a default — no premium for embassy or Gatineau service
  • $5M general liability + $2M product liability insurance certificates available within one business day
  • Separate prep stations and dedicated utensils for every allergen-sensitive plate
  • AGCO and RACJ permit coordination handled by our team for both Ottawa and Gatineau events
  • One server per 20–25 guests for plated meals; per 30 for buffet — locked into the contract
  • If we forget to mention a cost in the quote, we eat it — written into our policy, not a tagline
  • Day-before site visit and timeline confirmation included on every full-service event

Where the typical caterer cuts corners

  • Stock menu PDFs with no real customization — you pick from a list and that’s the conversation
  • English-only service, with bilingual servers as a paid add-on if available at all
  • $1M minimum coverage that some Ottawa venues won’t even accept
  • Allergen handling means a footnote on the buffet card — same prep surface, same utensils
  • Permits become “your responsibility” two weeks before the event when you ask about alcohol
  • Surprise “additional staffing required” line items appearing in the final invoice
  • Hidden taxes, gratuity, travel, and rental fees not shown in the original quote
  • Vague timeline — you find out at 3pm where the chef’s actually setting up
How It Works

From first call to last bite — in eight clear steps.

A clear process is the difference between an event that runs smoothly and one that doesn’t. Here’s exactly how we work.

01

Initial inquiry

You reach out by phone, email, or our online form. We respond within one business day — usually within a few hours during business hours.

02

Discovery call

A short 15–30 minute call (or in-person meeting) where we go deeper on the vision. By the end, we have enough to build a draft proposal.

03

Custom proposal

Within 3–5 business days you receive a detailed written proposal: draft menu, all-in pricing, staffing, rentals, beverage, timeline, terms.

04

Tasting session

For weddings and major events, we host a tasting at our Ottawa kitchen 4–6 months out. You and up to three guests sample the proposed menu and we revise.

05

Contract & deposit

A signed contract and 25–35% deposit secure your date. Non-refundable beyond the 14-day cooling-off period but transferable to a rescheduled date within 12 months.

06

Final details (4–6 weeks out)

Final guest count, menu adjustments, dietary roster, timeline confirmation, vendor coordination, rental finalization, and venue site visit if new to us.

07

Final payment (10–14 days out)

Final balance due 10–14 days before the event. Any guest count adjustments after final invoice are handled with day-of reconciliation up to a 5% buffer.

08

Event day & follow-up

Our team arrives 2–4 hours before service. The event captain coordinates with your planner, venue, and other vendors. You eat, drink, and host. We handle everything else — including a clean kitchen and a thank-you note the following week.

Service Areas

Catering across the full National Capital Region.

Travel charges only apply beyond a 30-minute radius of downtown Ottawa — and they’re always disclosed up front in your quote.

The Ottawa Catering Local Guide

What out-of-town couples and Ottawa hosts should know.

Ottawa is its own catering market, with quirks that don’t apply in Toronto, Montreal, or anywhere else. Here’s what every host planning a catered event in the NCR should understand.

AGCO Special Occasion Permits

Any event in Ontario where you’re serving alcohol that wasn’t purchased through your venue’s liquor licence requires an SOP from the Alcohol and Gaming Commission of Ontario. SOPs cost $35–$150+ depending on event type and are typically issued in 10–14 days online. Some venues require this; some are themselves licensed and don’t. We coordinate the SOP process for clients as part of our full-service bar packages.

RACJ permits (Quebec side)

Gatineau and Outaouais events follow Quebec’s Régie des alcools, des courses et des jeux (RACJ) rules. The permit process is similar in concept to Ontario’s but operates on a different timeline and requires different documentation. If your event is at Wakefield Mill, the Gatineau Park, an estate in Chelsea, or anywhere on the Quebec side, we manage RACJ paperwork directly with the venue.

Ottawa Public Health & food safety

Every caterer working in Ottawa should have a current Ottawa Public Health Food Premises Inspection Certificate. We do, and we can show you ours. For outdoor events, OPH has specific rules about temperature control, hand-wash stations, and food-handling timelines — we build our equipment plan around those rules so your event passes any inspection that walks up.

City of Ottawa special event permits

Outdoor events on city property (parks, plazas, public squares) require a City of Ottawa Special Event Permit, plus possibly noise variances, road closures, and public health pre-approvals. The lead time is typically 60–120 days. If your event is at Major’s Hill Park, Lansdowne, or anywhere on NCC land, we coordinate the food-service portion of those permits with the City and the National Capital Commission.

NCC properties & federal buildings

Events at NCC-managed venues — the Canadian Museum of History, the Canadian War Museum, Rideau Hall grounds, NCC River House, the Diefenbunker, Major’s Hill Park, and dozens of others — have specific catering protocols. We’re an approved or experienced caterer at most of them and know which insurance certificates, security clearances, and operational documents each one requires.

Embassy & diplomatic considerations

Embassy receptions and diplomatic events come with specific protocols: protocol-aware service, security clearance for staff at certain events, alcohol-free options for guests of multiple religious traditions, and careful menu development around national cuisines. We’ve catered at over 22 embassies and high commissions in Ottawa. Discretion is part of the job.

Climate & outdoor events

Ottawa’s outdoor wedding season is short and intense — late May through early October, with humid summers and unpredictable shoulder months. Every outdoor event we cater has a documented weather contingency: tent staging, indoor backup, hot/cold food holding times adjusted for ambient temperature, and bug-management for late-summer events near water (Ottawa River venues attract mosquitoes after sunset — it matters).

Winter catering & local sourcing

Ottawa winters are real winters. Catering in January–February requires warming stations, heated transport boxes, propane heaters for service tents, and routing plans that account for storm closures — we don’t mark up winter events, we just plan harder. For local-sourced menus, peak windows are: asparagus and strawberries (May–June), heirloom tomatoes and corn (July–September), apples and squash (September–November), and Ottawa Valley game (venison, duck, goose) in late fall.

What Ottawa Clients Say

4.9/5 averaged across 380+ reviews.

Wedding couples, corporate event managers, embassy attachés, HR directors. Real Ottawa events, real outcomes.

★★★★★

“We had 184 guests, 11 of them with serious dietary restrictions, and not one plate went out wrong. Our coordinator at the Westin told us afterward it was the smoothest catering operation she’d seen in years. Worth every dollar.”

Emma & David L.Wedding · The Westin Ottawa

★★★★★

“We host 4–5 client appreciation events a year and they’ve handled the last three. Our European clients keep asking us to bring them back to Ottawa just for the food. The bilingual service is a huge plus for our French-speaking customers.”

Priya R.Corporate Event · Kanata North

★★★★★

“We’re a same-sex couple who wanted a culturally fused menu — half my Filipino mother’s recipes, half my husband’s Italian family classics — and the chef worked through both with us for weeks. The lechon sat next to the porchetta and somehow it all made sense.”

Marcus T.Wedding · Wakefield Mill, Quebec

★★★★★

“Outdoor wedding, no on-site kitchen, 220 guests, surprise rain. They had us rolling on time anyway. Plated dinner was at the temperature it should be. I genuinely don’t know how they did it.”

Sarah & James M.Wedding · Stonefields Estate, Beckwith

★★★★★

“For a national-day reception with 150 diplomatic guests, every detail mattered — from the menu to the protocol-aware service. They handled it without any direction from me. Bilingual staff, perfect timing, and the canapés were the talk of the night.”

Jean-Philippe B.Embassy Reception · Sussex Drive

★★★★★

“We needed to feed 340 people in a venue that doesn’t have a kitchen. They built a full setup in our event space, served three hot stations, and packed out before our cleaning crew arrived. We’ve already booked next year.”

Lisa K., HR DirectorCorporate Holiday Party · Westboro

★★★★★

“Three rounds of menu revisions, a tasting that ran two hours over because we kept adding things, and they never once made us feel like we were being demanding. The day-of captain handled my mother-in-law with the patience of a saint.”

Aiden & Marie-Claire H.Wedding · Strathmere Inn, North Gower

★★★★★

“Three-day conference, 600+ delegates, four meals a day plus breaks. Halal, kosher-style, vegan, and gluten-free options at every meal, every day. Zero complaints from our delegates and our event team will use them again without question.”

Frequently Asked Questions

Direct answers to the questions Ottawa clients ask most.

Formatted for AI Overviews, featured snippets, and the questions wedding couples and event managers paste straight into Google.

How much does catering cost per person in Ottawa?
Ottawa catering costs typically range from $14–$22 per person for drop-off breakfast, $22–$42 per person for corporate lunches, $70–$115 per person for cocktail-style receptions, and $75–$210 per person for plated wedding dinners. Final price depends on menu complexity, service level, guest count, and venue logistics. All-inclusive wedding catering with bar typically lands between $300 and $400 per guest in the Ottawa market.
How far in advance should I book a caterer in Ottawa?
For weddings, book 8–12 months in advance — peak season (June–September) often books out 12–18 months ahead. For corporate events of 100+ guests, 6–8 weeks is recommended. Smaller drop-off corporate catering can often be confirmed within 48–72 hours of the event date subject to availability.
Do you cater outside the city of Ottawa?
Yes. We serve the full National Capital Region, including Gatineau, Chelsea, Wakefield, Kanata, Orléans, Barrhaven, and surrounding towns like Almonte, Carleton Place, Kemptville, and Rockland. Travel charges only apply beyond a 30-minute radius of downtown Ottawa and are always disclosed in your quote up front.
Can you accommodate dietary restrictions and allergies?
Yes — every menu we build accommodates vegan, vegetarian, gluten-free, dairy-free, nut-free, halal, kosher-style, FODMAP-friendly, and severe food allergies. We use separate prep stations and dedicated utensils for allergy-sensitive plates, label every buffet item by allergen, and have a chef on site for full-service events to monitor every plate that leaves the kitchen.
Do you provide bartenders and bar service?
Yes. We offer full bar packages with Smart Serve–certified bartenders, signature cocktail development, and full mocktail programs. We coordinate the AGCO Special Occasion Permit (Ontario) or RACJ permit (Quebec) where required, and can work with both host bars (you supply the alcohol) and full-service bars (we supply everything).
What’s included in a typical wedding catering quote?
A standard wedding quote includes the full menu, service staff (typically one server per 20–25 guests), all kitchen equipment, china and glassware coordination, cocktail hour service, plated or buffet dinner service, late-night station options, gratuity, taxes, and travel where applicable. We never use surprise add-ons — what’s in the quote is what you pay.
Can you cater outdoor weddings and events with no kitchen on site?
Yes — this is one of our specialties. We bring full mobile kitchens including propane cooking equipment, refrigeration, hot boxes, water supply, prep tables, and hand-wash stations to venues without indoor kitchen access. We regularly cater outdoor weddings at private estates, the Gatineau Hills, Ottawa Valley barns, and NCC parks.
Do you offer tastings before booking?
We offer complimentary tastings for booked wedding clients (post-deposit) and for corporate events over a certain budget threshold. For initial menu evaluations before booking, we offer paid mini-tastings that are credited toward your final invoice if you proceed.
What’s your cancellation and refund policy?
Deposits (typically 25–35%) are non-refundable beyond a 14-day cooling-off period but are fully transferable to a rescheduled event date within 12 months for any reason — including illness, family emergencies, and venue closures. Final payments are due 10–14 days before the event. Cancellations within 14 days of the event forfeit the full balance.
Do you cater at embassy and diplomatic events in Ottawa?
Yes — we have experience catering at over 22 embassies and high commissions in Ottawa, including national-day receptions, state-level dinners, and protocol-sensitive events. We provide protocol-aware bilingual service, handle security clearance documentation where required, and develop menus around specific cultural and religious dietary requirements.
Can you cater for kosher, halal, or other religious dietary needs?
We offer kosher-style and halal-prepared menus using certified suppliers, vegetarian and vegan menus appropriate for Hindu, Buddhist, and Jain dietary practices, and Lent-appropriate seafood menus. For strictly certified kosher (under rabbinical supervision) or fully certified halal events, we partner with specialty providers — ask us for referrals.
Do you provide servers, bartenders, and event staff?
Yes. All service staff are direct employees (not third-party contractors), trained in our service standards, and Smart Serve–certified for any role involving alcohol. Standard staffing for plated meals is one server per 20 guests; buffet service runs one server per 30 guests. Bilingual service is available at no additional cost.
What types of events do you cater?
Weddings of any size, corporate events (breakfast meetings to 600-delegate conferences), embassy and diplomatic receptions, social events (birthdays, anniversaries, baby showers, retirements), funeral and celebration-of-life receptions, holiday parties, fundraising galas, product launches, in-home private chef dinners, and food truck service for outdoor festivals.
How do you handle leftover food from events?
Per Ottawa Public Health regulations, hot foods that have been on a buffet beyond safe holding times cannot be repurposed. For untouched food, we work with our clients on three options: pack-up for the host, donation to Ottawa Mission or Shepherds of Good Hope (we have an active program), or composting through our certified organic waste partner. We don’t throw food in the trash, ever.
